Petition for Official Club Recognition

To apply as an official ASYVCC Club:

  1. There must be at least five (5) YVCC students as members with five (5) offices held: President, Vice President, Secretary, Treasurer, and Senate Representative. Non-students may not be members of a ASYVCC club.
  2. Each club is required to have an advisor. The advisor must be a full-time staff member of YVCC. The advisor or previously approved staff-designee must be present at all club functions (meetings and activities).
  3. Submit a PETITION FOR CLUB RECOGNITION form (petition_club_recognition.doc (20 kb) - click here to download).
  4. Submit a Club Constitution (samples are available at the ASYVCC office) with the Petition for Club Recognition form.
  5. Schedule this petition as a Senate agenda item with the ASYVCC Secretary. Your club representative must be in attendance at the Senate meeting when the Petition for Club Recognition is voted on.
  6. Notify the Associated Students of changes in officers, meeting times, Senate Representatives and any other pertinent information.
  7. After being recognized as an official organization, an official club roster with all member names must be on file in the Office of Student Life.

Recognized clubs at Yakima Valley Community College receive the following rights:

  1. Use of the YVCC name.
  2. Use of the YVCC facilities for meetings and activities.
  3. Use of YVCC communication media, "Let's Yak" and Public Information Office.
  4. Recognition in YVCC publications. e. Reservation rights on the YVCC calendar.
  5. Right to apply for budget allocation from the ASYVCC S&A annual budget (does not guarantee receiving funds).
  6. Use of budget as allocated by ASYVCC under state guidelines.

To receive and maintain status as an official YVCC club/organization your club/organization agrees to:

  1. File a constitution and/or bylaws in the ASYVCC office (located in HUB 145). This constitution must contain:
    • A democratic plan for the selection of members without regard to race, color, religion, sex, age, national origin or handicap.
    • Members must be registered students at YVCC.
  2. Adhere to all policies which are set by the YVCC Board of Trustees, the Associated Students of YVCC, and the State of Washington.
  3. The advisor and officers will attend the mandatory Club Budget Orientation meeting sponsored by ASYVCC.
  4. The officers shall not simultaneously hold an office in any other club/organization.
  5. Maintain all monies, checking and/or savings through the YVCC Business Office with copies of receipts turned over to the ASYVCC Tresurer and Original reciepts turned into the Business Office. No off-campus commercial checking or savings accounts are allowed.
  6. Send a representative to every Senate Meeting, (held weekly on Mondays at 12:30 pm, in the Martin Luther King Room). Should a club or organization be absent for three or more meetings, Senate voting privileges will be revoked, the club's financial account will be frozen and the use of YVCC facilities will cease. To reinstate recognition status, the club must be represented at Senate meetings for two consecutive meetings and a written report submitted stating the reason for non-representation and future goals and projections of the club.
  7. Have all budget paperwork (petty cash, requisitions, contracts, etc.) signed by the club advisor, Coordinator of Student Life, and the Dean of Students, before expenditures are made or a transaction is attempted.
